How to Send Shipping Notification Emails to Concierge Recipients

Let your gift recipients know something special is on the way. With Recipient Emails, Zest automatically emails each recipient when their gift ships, with their carrier, tracking number, and order number. You choose what's included right from the order. No engineering or email platform setup required.

Before you start:

  • You have a Concierge order in Draft status. Recipient Emails can't be changed after the order is submitted for processing.

  • Your recipients have email addresses on the order.

  • Your Recipient Support Email is set in Company Settings. Recipient replies go to this address.

  • Optional: your sender email address is set up. Until it is, emails come from a default Zest address. See How to Configure Transactional Emails for Concierge Orders.

How Recipient Emails Work

When tracking is created for a recipient's shipment, Zest sends that recipient a branded email from your sender address. If a gift ships in more than one package, the recipient receives one email per tracking number.

Recipient Emails works whether you use Zest-managed transactional emails or self-managed emails through Klaviyo. Your customer (buyer) still receives the same consolidated shipping emails as before.

Note: Recipients who reply to the email will reach your Recipient Support Email, so make sure that inbox is monitored.

How to Turn On Recipient Emails

Recipient Emails is off by default for every order.

  1. Open your Concierge project and select the order.

  2. In the Order settings panel, turn on the Recipient emails toggle.

  3. Choose what to include:

    • Include tracking link is always on.

    • Check Include preview of gift to show the product.

    • Check Include gift message to show the recipient's gift message.

  4. Review the From field, since it appears in the email headline.

  5. When everything looks right, click Submit order for processing.

Important: Recipient Emails settings can't be changed after the order is submitted. Double-check the toggle and checkboxes before you submit.

Adding Recipient Email Addresses

Only recipients with an email address on the order receive an email. Recipients without one are skipped. Their gift still ships as normal; they just won't get the notification.

Using a CSV Upload

Enter each recipient's email in the Emails (Optional) column of the Import Recipients template. Don't rename the column header. For more on the template, see How to Upload Recipient Lists via CSV in Concierge.

Adding Individual Recipients

Click Add recipient in the recipient list and enter the recipient's email address along with their shipping details.

Using an Upload Link

When customers upload their own recipients through an upload link, they can add emails in the same Emails (Optional) column.

How the From Field Appears in the Email

The email headline uses the order's From field. For example, if the From field says "The Acme Team," the headline reads "The Acme Team sent you a gift!"

Tip: Use a name your recipients will recognize, like the sending company or person, rather than an internal project name.

Testing Recipient Emails Before You Launch

Send yourself a test so you can see exactly what recipients will receive.

  1. Add yourself as a recipient with your own email address.

  2. Turn on Recipient emails and choose your options.

  3. Submit the order and create tracking for it.

  4. Check your inbox (and spam folder) for the email.

Is Recipient Emails Turned On by Default?

No. It's off for every order until you turn it on in Order settings.

Can I Change Recipient Emails After Submitting an Order?

No. Settings are locked once the order is submitted for processing.

What Happens if a Recipient Doesn't Have an Email Address?

They're skipped. Their gift still ships, but they won't receive a notification.

Why Did a Recipient Get More Than One Email?

Their gift shipped in multiple packages. Recipients receive one email per tracking number.

Will My Customer Still Get Shipping Emails?

Yes. The customer (buyer) still receives the same consolidated shipping and delivery emails. Recipient Emails doesn't change them.

Where Do Recipient Replies Go?

To your Recipient Support Email, set in Company Settings.

Does This Work if I Manage Emails Through Klaviyo?

Yes. Recipient Emails works for brands using self-managed Klaviyo emails as well as Zest-managed emails.

A Recipient Didn't Receive Their Email. What Should I Check?

  1. Confirm the order had Recipient emails turned on before it was submitted.

  2. Confirm the recipient's email address is on the order and spelled correctly.

  3. Ask the recipient to check their spam or junk folder. Corporate email filters can block or delay emails.

  4. Contact Zest support with the recipient's email address so the team can check delivery logs.
