Managing your team in Zest is straightforward and free. There are no limits on the number of users you can add and no additional charges per seat. This article walks you through inviting team members, assigning the right roles, and keeping your account access organized as your team grows or changes.
Understanding Admin vs. Member Roles
Zest offers two roles: Admin and Member. Choosing the right one for each person ensures your account stays secure and your team has the access they need.
Members can manage orders, products, and reports. This role is well-suited for seasonal employees, temporary staff, or anyone who needs to handle day-to-day operations.
Admins can do everything Members can, plus send team invites, change roles, and remove accounts. This role is recommended for trusted team members who are actively managing operations.
There are no custom permission levels beyond these two roles.
How to Invite a Team Member
Log in to the Zest Partners portal at gifts.zest.co/partners.
Navigate to Settings > Team.
Click the Invite button. (Note: This is only visible to Admins.)
Enter one or more email addresses for the team members you'd like to invite.
Select their role β Admin or Member.
Click Send invite.
The team member will receive an email with a link to activate their account. They'll be prompted to sign in with a one-time passcode. Do not share login credentials β every team member should have their own individual account.
A few things to keep in mind before sending invites:
Each invite must be clicked by the recipient to activate the account. Simply having an email address in the system is not enough.
Invitations expire after 7 days. If an invite expires, an Admin can resend it from the Settings > Team page.
If a team member doesn't receive the invite, have them check their spam folder. If it still can't be found, an Admin can click Resend next to that user's name on the Settings > Team page.
If the invite email displays garbled or encoded characters, forward it to [email protected] so the team can resend a clean version.
Logging In to the Zest Partners Portal
Zest uses passwordless authentication. To log in, go to gifts.zest.co/partners, enter your email address, and a one-time 6-digit numeric passcode will be sent to your inbox. Enter the code to sign in. There is no password to remember or reset.
A couple of common issues to avoid:
Do not bookmark your invitation link as your login URL. The invitation link is only used for initial account activation. Bookmark gifts.zest.co/partners directly.
Make sure you're not accidentally trying to sign in at a storefront customer page or at zest.co, which are separate from the Partners Portal.
Managing Existing Team Members
Admins can update roles and remove users at any time from Settings > Team. You can promote a Member to Admin, downgrade an Admin to Member, or remove a former employee from the account entirely. Note that you cannot change your own role.
If you need admin access yourself and don't currently have it, contact Zest support to have your role elevated.
Accessing Multiple Brand Accounts
Each brand has its own separate Zest instance with independent logins and settings. A team member can be added to multiple brand accounts, but there is no single global login that spans all brands.
If you have access to more than one account, you can switch between them by clicking the account menu at the bottom of the sidebar β it displays your current brand name and username β then selecting Switch account and choosing the account you want from the list.
